The Cluster “Sustainable Transition – Cities & Infrastructure, Energy, Mobility and Waste” at GIZ in China comprises more than 15 projects in the fields of sustainable infrastructure financing, energy transition, sustainable mobility and circular economy, which are implemented in cooperation with Chinese political and implementation partners.

About this job:

We are looking for a highly motivated and professional team player with a good command of English and Chinese (written and spoken), with German as a strong asset, and first working experience in fields of administration, secretary, office management, event management or finance. The successful candidate will be supporting the cluster head as secretary and the implementation of project activities with private and political partners logistically and administratively.

Main Tasks


  • prepares and organizes of diverse cluster/project meetings or workshops
  • schedules and plans communication with partners according to specific project needs
  • coordinates and assists in preparing and conducting project activities and carries out the activities required for project implementing
  • accompanies the project manager or team members to meetings if necessary
  • ensures knowledge management collects, processes, and distributes relevant information


  • supports the project manager in the planning, monitoring, and control of the project
  • is responsible for organizing administrative and logistical aspects of cluster/project activities (meetings, workshops etc.)
  • is responsible for office maintenance, including purchasing office accessories, monitor stocks and carring out procurement in accordance with guidelines

Finance and Controlling

  • conducts procurement and contracting of services required for the implementation of project activities
  • preparation of contract settlements and other reimbursement, checking of the invoices
  • assists supervisor with travel arrangements, booking of flights, train tickets and hotels
  • checks travel expense statements of staff for approval by the superior
  • management of cluster /project inventories

Translation and interpretation

  • Translation and interpretation among Chinese, English and German for the project’s events and documents.

Other/further tasks

  • assumes tasks on demand in the role of a personal assistant for the Head of Cluster in organizational, administration & logistics matters
  • performs other duties and tasks at the request of management

Your profile

  • Bachelor or Master degree in relevant fields, e.g. Business Administration, English or German, Economics or other relevant disciplines
  • 1-5 years of professional experience incl. internships in the private sector, government, or international organizations
  • Fluency in Chinese, English (written and spoken) is required; Proficiency in German considered a strong asset
  • Possess quality and flexibility to work in a fast-changing work environment
  • Excellent interpersonal and communication skills
  • Excellent command of IT and communication technologies and relevant computer applications (esp. MS Excel and PowerPoint)
  • High work ethics, reliable and motivated, able to handle multiple simultaneous assignments with competing priorities, under the condition of tight time schedules and fixed deadlines.
