The VDMA (Verband Deutscher Maschinen- und Anlagenbau e.V. – Mechanical Engineering Industry Association) represents more than 3,200 member companies in the engineering industry, making it the largest industry associations in Europe. The Association represents the interests of the predominantly medium-sized companies in the mechanical engineering industry towards policymakers and society, as well as towards business, the scientific community, public authorities and the media.

Since 2004 the VDMA is operating in China, with an office in Beijing and one in Shanghai. The China Offices are the contact point and service center for VDMA members with subsidiaries and branches in China. VDMA China is providing a network for our members. We hold close ties with government bodies, associations and relevant business partners. We organize events, are active on tradeshows in China and offer various services to our member companies. The VDMA Beijing office is located at Landmark Tower in Chaoyang District.

About this job:

The Position

This position will directly report to the General Manager of the organisation and is responsible for providing office services and team support. We are looking for a friendly, motivated person, who is willing to work in a small team of 8-10 team members. The person should be able to manage all kinds of office and administrative work.

Small teams are flexible but also require responsibility and a good team spirit. We are looking forward to meeting you.


The Tasks

  • Office administration tasks:
  • Purchase office supplies
  • Screen incoming calls
  • Manage companies Info-Email Box
  • Maintain office templates
  • Handle service suppliers, vendors and customers
  • Compile monthly reports
  • Prepare meetings and presentation materials


  • Membership Management (Database & Communication)
  • Be the internal champion for the company/customer database, maintain an overarching understanding of how the database is used throughout the organisation
  • Regularly update the collected data, ensure adequacy and accuracy of data in the system, store and analyse data with attention to security and confidentiality
  • Regularly interrogate and analyse the database to support the marketing and promotion of events, newsletters and surveys
  • Assist with reports and data extraction when needed
  • Utilize LinkedIn and WeChat as a prospecting tool and support communications marketing efforts as a social media vehicle


  • Assistant to General Manager:
  • Arrange business trips
  • Handle travel cost reimbursements
  • Organize and manage GM’s calendar and appointments
  • Other tasks as assigned
  • Degree in business administration or related subject
  • Excellent organization skills and detail-oriented working style
  • Advanced level in English or German
  • Strong computer and internet skills, using standard PC software like Word, Excel, PowerPoint, Acrobat
  • Minimum of 2 years working experience in Beijing (preferably in a foreign company)
  • Interpersonal skills, ability to work well with management, staff, outside clients and vendors
  • Sensitive to confidential matters

Working Experience: 3-5 years
