About this job:

The successful applicant will be an experienced Board Secretary, who will be an exceptionally well organised self-starter with a highly effective and structured approach to daily tasks as well as long-term projects. You need to be able to manage multiple demands, remain in control under pressure and exhibit a high level of confidentiality in relation to sensitive information. You will be an independent thinker, someone who enjoys suggesting improvements and must be able to engage with a variety of stakeholders in- and outside of the international school environment.


  • Independently handling correspondence and upcoming topics
  • Ensuring information flow between the Board, School Management and stakeholders
  • Calendar management of all Board related matters
  • Preparing documents and organising committee meetings (including taking minutes)
  • Supporting and organising Board related events
  • Liaison with School Administration and Faculty to manage related matters and projects
  • Organise and drive Board related projects such as Governance and Budget matters
  • Overall responsibility for the Annual General Meeting, Extraordinary General Meeting; preparation and organisation in collaboration with School Management and external Company Secretary
  • Draft written and filing resolutions of the Board.
  • Work closely with the Board Chair, Committee Chairs and be a point of contact for Board Members, Staff, German and Hong Kong Government Bodies and international guests
  • Bank signatories & notification and changing of directors


  • University degree (desirable) or equivalent
  • English language fluency, German language skills desirable
  • Fully computer literate with current meeting technology knowledge
  • Excellent organisation, communication and interpersonal skills
  • Previous secretarial experience in a similar position, experience in an educational work environment desirable
  • Problem solving and trouble shooting skills
  • Ability to work autonomously and under pressure to meet important deadlines
  • Flexibility and adaptability to balance and deliver a range of different tasks
  • Cultural sensitive and enjoy working in an international environment
